Seatopia keeps only what it needs to share seats and rooms fairly, and deletes it on a schedule.

What we store, and when it is deleted

  • Your university email address, from sign-in; kept for as long as the university keeps your account.
  • Seat sessions (which seat you held, and when): deleted 30 days after the session ended.
  • Room bookings, with your group members' university emails: deleted 30 days after the booking ended.
  • No-shows: deleted after 30 days, once they no longer count towards a booking ban.
  • Requests asking staff to check a seat, and requests for help to keep a seat you released: deleted 30 days after they were made.
  • Messages sent to you by email or Telegram (booking confirmations, reminders, no-shows): deleted 7 days after sending.
  • If you connect Telegram: your Telegram chat with the Seatopia bot, kept only as a number that identifies the chat. It is kept until you disconnect or send /stop. The app does not store your Telegram name, phone number or what you type to the bot.
  • Telegram link codes: deleted 10 minutes after they are made, or as soon as they are used.
  • Your notification choices: kept until you change them.

Other students never see who holds a seat. For a room booking, any signed-in student can see the booker's and the members' university emails, so a group can find each other. Library staff can see everything above, to run the library. Nothing is sold or shared, and no data is sent to AI services.

Telegram is optional. If you connect it, the reminders you are signed up for go through Telegram's servers. Messages to a bot are not end-to-end encrypted, and Telegram keeps its own copy under its own terms, which we cannot delete. Disconnecting stops new messages at once.

Rows are deleted, not anonymised. Your account is student data kept by the university, so it can't be deleted from the app.
